How much does AI automation cost
for a small business in the UK?

A simple first automation costs about £1,000 to £3,000 to build. A bigger first project is £5,000 to £30,000. Running it costs £50 to £500 a month. Here is where those numbers come from, and how to stay at the low end.

Where the money goes

Every quote is three things

1. The build

One-off. £1,000 to £3,000 for a simple workflow, £5,000 to £30,000 for most first projects. UK day rates run £450 to £1,800, so ask for a fixed price instead.

2. The tools

Monthly, paid to the vendor. Usually £10 to £100 a month for a small business. They should be in your name, not the agency's.

3. Support

Optional. £500 to £3,000 a month for large systems. Can be nothing for a simple workflow you own.

£50 to £500 a month, no build. Quick and predictable. It doesn't know your prices, your diary or how you talk to customers.

£1,000 to £30,000 once, then tool costs. Built around how you already work. The smaller the job, the lower the price.

Staying at the low end

Four things to insist on
before you pay anyone

  • One job. Not a platform. One job is a four-figure build; a "transformation" is five.
  • A fixed price, agreed first. If they can't price it, they don't understand it yet.
  • Built around the tools you already pay for. New software is a new bill.
  • You own it. Workflows, logins, documentation. Otherwise the real price is the retainer for life.

That's how we work: one job, a fixed price before we start, live in days, nothing sent or published without your approval. We quote each job rather than publish a list, because the honest price depends on the job.

The questions people ask

Is it cheaper than hiring someone?

For one repeatable job, usually yes. Most automations cost less a month to run than a part-time administrator, and they work evenings and weekends.

Chatbot or full workflow, what's the difference in price?

An off-the-shelf chatbot is £50 to £500 a month with little setup. A workflow that reads enquiries, checks your diary and books the job is a build: £1,000 to £3,000 for something simple, more for something bigger.

Are there monthly fees after the build?

Tool subscriptions, usually £10 to £100 a month, paid to the vendor. Support is optional, and can be zero for a simple workflow you own.

What are the hidden costs?

Per-message charges, retainers that never end, and builds you don't own. Ask for a fixed price, ask who owns the logins, and ask what happens in month 13.

How long until it pays for itself?

One to six months for a well-chosen automation, according to published UK guides. Pick the job with the clearest cost first.

Do I need to understand the technology?

No. You need to know which job hurts most and which tools you already use. A good build sits around them.
